The Job: The Project Coordinator of Operations will be responsible for managing multiple project plans as well as maintaining a high level of confidential information.  This position will report directly to MSI’s Chief of Staff/Vice President of Operations.

Responsibilities:

Project Coordination:

  • Lead projects and develop and maintain project plans including scheduling and facilitating meetings, managing action items and providing guidance and direction to resolve issues list.
  • Facilitate successful coordination and delivery of all project activities from planning to execution in a timely manner.
  • Create and manage communication material and implementation plans including assessing project delays and change management implications.
  • Lead coordination of projects that may include both internal and external constituents and require; research, presentation and compiling complex documents.
  • Maintain database and spreadsheets on various initiatives. Utilize Raiser’s Edge to add, extract or compile data and information.

General Support:

  • Provide professional and administrative support to the Chief of Staff and Vice President, Operations and ensure full office management, appropriate scheduling, oversees and completes all tasks to ensure the office is effectively operating.
  • Provide support as needed for the Director of Security and Life Safety.
  • Serve as the primary back-up to the President’s Office as needed.
  • Responsible in coordinating meetings and events for the department including President’s Council, advisory committees and management team.
  • Prepare meeting agendas and correspondences on behalf of Chief of Staff.
  • Responsible for the department’s budget process by tracking and updating spreadsheets, processing POs and expense reports, travel arrangements, preparing drafts and finalizing department budget for review.

Qualifications:

  • Bachelor’s Degree and 5 years’ experience supporting at the executive level (equivalent related work experience in lieu of a Bachelor’s Degree is acceptable)
  • Must be well organized, flexible and able to handle multiple projects and tasks at once.
  • Must have ability to interact with internal and external constituents at all levels, a high level of professionalism and confidentiality key to this role.
  • Must possess a high level of written and verbal communication skills, attention to detail and ability to maintain highly confidential information.
  • Excellent calendar management skills, including the coordination of complex executive and committee meetings
  • Experience assisting with the creation of PowerPoint presentations, must be proficient in MS Office, including word, Excel, PowerPoint and Outlook and possess the ability to quickly learn new systems.
